When you are assigned the RRC-FL role you will receive access to the MyU Manage Bldg Tab within 24 hours. The Manage Bldg Tab contains important links and information to assist you in your role.

The Facility Roles Program clarifies lines of authority and responsibilities regarding facilities access, communication and coordination among all Twin Cities campus academic and administrative units. It further provides streamlined communications between University Services functions and employees in these roles. The program is managed by the Chief of Staff in Facilities Management and supported by the University Services Finance & Strategy PMO Office. The Facility Roles application can be used to find who is assigned to facility roles in each building on campus, either through reports or on a building map.

Facility Role Program Overview

As the Facility Lead for your unit, you have access in U-Space called Approving Department Space Changes (aka the former the Approving Space Coordinator role). An Access Request Form (ARF) is needed for this access. Click on the Getting Access to U-Space link for instructions on how to complete an ARF. After your ARF is submitted and processed, a U-Space team member will send you an email to schedule training. U-Space training is available to view at any time on their website. Department Facility Rep (DFR)

Understanding my Role

My Access to Systems

When you get assigned the DFR role you will get access to the MyU Manage Bldg Tab within 4-8 hours. The Manage Bldg Tab contains important links and information to assist you in your role.

If you are assigned the DSC responsibilities in one of the DFR roles, you have access to Editing Department Space Changes (aka the Dept. Space Coordinator role). The other DFR can only have view only rights. DFR Alternates have View Only access to USpace. An OIT Access Request Form (ARF) is needed for both types of access. Click on the Getting Access to U-Space link for instructions on how to complete an ARF. After your ARF is submitted and processed, a U-Space team member will send an email to the DFR to schedule training and the other DFR will receive information for online View Only training. U-Space training is available to view at any time on the Office of Space Management website. See the U-Space User Guides & Training link.

If you have never requested keys before or if you are new to this role, send an email to fmcc@umn.edu with the Subject Line: Facility Management Self Service Access. You will then be added as a key requester in COMPASS.

In order to view your key requests you will need to create a login record by clicking on the link below. Nothing more needs to be done after clicking on this link. The System Administrator will then assign your permission and send you an email when this complete.

The U Card Restricted Access Request Form is located on the MyU Manage Bldg Tab in the Department Facility Rep Pagelet. As a requester, you must be the DFR for the Dept ID that is assigned to the space in U Space. If your department is newly added, space must be assigned to your Dept ID BEFORE your request can be processed. Refer to the "Be authorized to request access for space in a new DEPT ID" section of this Self-Help Guide.

You have the ability to manage your key requests through the Key Request Dashboard. This is available on the MyU Manage Bldg Tab.

If your DEPT ID is newly added, you must assign the DEPT ID to a room in U-Space before you can request a key or card access for that space. Per your U Space training, log-in to U Space and assign that space to the DEPT ID. Refer to the "Getting Access to Systems" section of this Self-Help Guide if you don't have U Space access. Notify your RRC-FL to go into U Space and authorize any changes you made. There will be a short delay before your name appears as an authorized requester for keys or card access.

Facility Roles Program - GIS

There are links to change both Public and University Hours for a building on the Primary Building Contact Pagelet. Any request for changes to Public or University Hours will need to be reviewed and approved.
